ERP by subscription: how does it work, and what does it cost?

An ERP project classically starts with a quote: a large amount, a bucket of hours and a schedule. Then the real project begins, and it rarely resembles the quote.

Short answer. A fixed subscription fee per phase, calculated from five criteria: processes, users, legal entities, custom work and complexity. No hours, no invoices for extras; custom work is included, built and maintained. Licences you pay directly to the vendor. After every phase you decide whether we continue.

What a bucket of hours does to a project

Every question becomes a cost question. "Can this screen be different?" means "what does that cost?". Your project manager manages the budget instead of the result. Your people stop asking their questions, because every question is a ticket. And extras aren't the exception but the rule, because a company changes during a project. The result: the system that's live at go-live is the system of the quote, not the system you need.

Why integrators still work that way

Because it's safe for them. Every hour is paid, every extra is invoiced. The risk sits with you. That's not ill will, it's a hundred years of habit. But it means your integrator's interest isn't your interest.

How the subscription works

After walking the floor you get a plan with phases. Every phase has a fixed subscription fee and ends with a decision point: continue or stop. Within a phase we don't count hours. A different screen? Extra training for a new employee? That's included. Custom work is included too, built and maintained: building is the easy part today with AI, maintaining it through every upgrade is the real work, and we carry that. We benefit from a fast, good phase as much as you do.

What's not in it, and why we say so

The subscription is fixed within the scope of the phase. If something comes up outside it, an integration with an external platform that wasn't in the plan, a heavy data migration, we say so up front and you get a separate price for it. Licences you pay directly to the vendor. Like every certified partner we receive a commission on them; we'd rather say that ourselves than have you find out afterwards. Our income comes from the subscription, not from licences. "Unlimited" we don't promise, because it doesn't exist. What we do promise: no argument about hours, ever.

Why no amounts on the site

Because a company with three warehouses is not a company with one site. The fee follows from five criteria: processes, users, legal entities, customisation and complexity. You get that score before you sign. And after every phase, you decide again.

That's what we mean by walking the talk: we have to earn it again every phase.
